e-Doręczenia is the electronic equivalent of a registered letter. Thanks to this service, public authorities, citizens, and companies can benefit from convenient and secure electronic delivery. In legal terms, they are equivalent to a traditional registered mail with acknowledgment of receipt.

Creating an e-Doręczenia mailbox for legal entities

Follow the link to register in the e-Doręczenia system and select the required options step-by-step, referring to the screenshots provided below.
After completing these steps, the system will prompt you to log in to submit your application. Select the login method in the relevant section. In our example, this is Profil zaufany.

Next, proceed with the authorization by confirming the login at the appropriate stages using an SMS code or confirmation via your banking application.

After authorization, the system may ask to confirm your email. You must enter the email address that was linked to the natural person's e-Doręczeń account.

If a natural person's account has not been registered previously, you must enter the email address where you would like to receive notifications about new messages arriving in your e-Doręczeń mailbox.

After entering your email, the system will notify you that everything is correct. Select the PRZEJDŹ DO APLIKACJI button.

Once the login is successful and the email address (if requested by the system) is confirmed, a window will appear with a short instruction on submitting an application to register your e-Doręczeń mailbox. Please read it and select DALEJ.

Check the box confirming that the address for the company needs to be created.

Select the option according to the screenshot below. The companies are registered in the Krajowy Rejestr Sądowy (National Court Register).
Select Tak if the natural person submitting this application is registered in the KRS (National Court Register) as the Chairman or a Member of the Board.
You can check who the board members are by following the link to the KRS register.
Enter the KRS number of your company. You can verify the number in the same register by following the link.
Verify the data retrieved by the system from the register based on the entered KRS number, then select Tak and DALEJ if the information matches the register.
Select Tak if the physical address for correspondence matches the registered address of your company.

Typically, the Nie option is selected if the business operates at one address while correspondence is received at another. After selecting this option, the system will prompt you to enter the address manually.
Add a mailbox administrator — the person who will have access to your company's e-Doręczeń mailbox. Typically, this is the same person who is submitting this registration application.
Enter the administrator's details and confirm by selecting ZAPISZ.
If there are no additional administrators, select DALEJ.
Confirm the step if all administrators have been added.
Read the regulations and select TakDALEJ.
Read the information regarding the mailbox management rules and select TakDALEJ.
Select DALEJ.

Sign the generated document for the registration of the e‑Doręczenia electronic mailbox. In our example, PODPIS ZAUFANY is used.
Select Podpisz and, at the appropriate stages, confirm the signing using an SMS code or via your banking app.
After signing, a window will appear with the signed document and a prompt to send it — select Wyślij.
After that (within 1-3 business days), a notification will be sent to the email address specified in the application stating that the mailbox is ready. Then, you only need to activate it: log in to the system again and select the corresponding Aktywuj skrzynkę button.
